How to add new vouchers/ gift codes from the HQ?

Please go through this article to understand how to add cash and free product vouchers to your system.

Vouchers are unique codes that an outlet can generate and share on third-party platforms. These vouchers can be redeemed only on POS orders and can be used only once by a customer. As a restaurant owner, you can generate a variety of unique voucher codes either manually or using an online tool that you can share with your customers after adding them to the Easyeat system.

When to opt for Vouchers and not Promotions?

Now, we know that both vouchers and promotions enable the owner to run some discounts for his customers and attract them to place orders with the outlet. But their application is different. Let us understand how. 

# A promotion is a discount that can be applied from both the user app and POS; is non-unique and can be used by anyone. A 10% discount running at the outlet is accessible by everyone.

# A voucher, on the other hand, is a unique code generated by the outlet to be shared with a specific set of customers either directly or via third-party platforms and can be used only once.

For example, the restaurant is running a lucky draw where the top 10 people will get 10% off, or, the restaurant wants to offer some special discounts to customers with more than 5 orders in the last 30 days. In such cases, vouchers will be more beneficial. 

How can you generate unpredictable voucher codes unique to your restaurant?

Before getting into how to generate a voucher code, let us see what a random voucher code may look like- XypjsU2 or LUCKYWINNER1, or any alphanumeric/alphabetical/numeric combination of letters. 

You can either generate codes manually or use any free online tool. Search for voucher codes generator in the search engine (Google/Bing) and select any tool. Now, these tools provide plenty of settings for you to customize your codes as per the requirement.

Here, we want to generate 20 codes with 8 letters each and want to set a prefix (FUS) based on our outlet's name (Fusion Cafe).  

As you can see a set of 20 codes has been generated. You can copy and paste them into a spreadsheet to upload it. You will learn about uploading the vouchers to the system in the next section of the article,

You can try out different tools or conditions to get more unique codes. The above example is only a tutorial on generating vouchers.

 

Steps to add a voucher-

     Step 1- Login to your HQ account.

     Step 2- Navigate to the Promotions section-> Voucher sub-section.

Select the outlet from the upper right corner and click on the Add New Voucher button.

 

Adding Cash Voucher- Customer gets a Flat Discount on the final cart value

Using a cash voucher, customers can avail discounts on their order amount up to a certain value (cash value of the voucher) and pay the remaining, if any, using other modes of payment.

     Step 3- In the Cash Value Of  Voucher tab, fill in the discount you want to provide to your customer. Then, specify the Minimum Cart Value for the voucher to be enabled.

Here, using the voucher code customer will be able to claim RM 20 off on a cart value of RM 100 or more.

Note- Cash voucher is applicable on order value only and not categories/sub-categories.

     Step 4- Now, Select the order type (Dine-In, Pickup) on which the voucher can be used. Choose the outlets where the customer can redeem this voucher and specify the duration for which the gift code is live, i.e, the voucher has to be used between this period (start date and end date) and will expire post voucher’s end date.

Here, the voucher code is applicable on dine-in orders in Easyeat outlet till 30st April 2024 .

     Step 5- Next, add Voucher Title and Voucher Provider details in the respective tabs. Here, our voucher provider is Vodafone.

Now, you have to upload the voucher codes you have generated.

We have created a unique set of alphanumeric codes for our outlet.

Make sure that you add the voucher-codes attribute in cell A1 and then paste the vouchers below. Refer to the attached snip to see how.

Further, download the CSV file.

Upload the file in the HQ by clicking on the Upload CSV file button.

The codes will be displayed in the voucher codes tab like this- 

     Step 6- Click on the Save button and the vouchers will be added to your system.

 

Adding Free Product Voucher- Customer gets a specific dish free on satisfying the minimum cart value.

     Step 3- Specify the Minimum Cart Value to which the voucher can be applied. Next, add the Quantity and select the item from the drop-down in the Select Item tab.

Here, with a cart value of RM 100 if the customer uses the voucher he will get a free Kavitha Filter Coffee.

Repeat Steps 4- 6 as discussed above.

Redeeming Vouchers 

The vouchers added in the HQ of outlets can be redeemed only from POS. Customers cannot use the voucher codes from the User App.

Step 1-  The staff can redeem a customer’s voucher while settling the bill. On the settle the bill window, scroll down to the Third Party Voucher option as payment method.

 

Note- If this option is not visible on your POS settle bill screen, contact the Easyeat Support team.

 

Step 2- Select the voucher title.

Step 3- Enter the gift code the customer has provided and click on the Apply button.

Since all the conditions have been satisfied, i.e. minimum cart value of RM 100 and dine-in order type, the voucher code works here.

You can see on the top of the screen that RM 20 off has been claimed using the voucher code. The rest amount can be paid using the preferred payment method of the customer.

For the Free product voucher, the free item should be added to the cart along with the other items by the staff.

Checking Voucher Availability and Records

The owner can track the status of the voucher codes he added earlier from the HQ itself.

Step 1- Click on the Voucher Title to view the details of the gift codes.

Here, you can track individual codes, their redeemed date, outlets where they were used, invoice numbers, etc. You can check the number of vouchers available.

As you can see, the status of code- PROMO1 has been updated.
